Wellness Plans

A wellness plan is a fixed or dynamically priced set of products and services that can be redeemed for a patient over a year. Wellness plans can include enrollment fees that the client is invoiced for on a monthly, quarterly, or yearly basis.

Wellness plans are non-transferable.

Wellness plans cannot be transferred from client to client or from patient to patient.

A patient currently enrolled in a wellness plan cannot be transferred from or to another client until the plan ends or is canceled.

Create a Wellness Plan

To add a new wellness plan, go to Financials > Manage > Wellness Plans and select + Add New. You can also select an existing wellness plan from this page to edit the plan details.

When you add a new wellness plan, the Status is set to Disabled by default. Toggle on the Status to enable the plan.

Configure Wellness Plan Settings

The following table describes available settings fields for a wellness plan.

Field

Description

Enable

Toggle on this option to activate the wellness plan.

Disable Future Enrollments

Select this checkbox to lock the wellness plan so that new enrollments cannot be accepted. This will not impact patients currently enrolled in the wellness plan.

Name

The name of the wellness plan. This name displays in Patient Chart > Plans.

Dynamically Priced?

Toggle on this option if you do not want the wellness plan to have a fixed price. The price of the wellness plan will be the sum of the included product prices.

Leave this option toggled off if the plan uses fixed pricing.

Fixed Annual Price

The total amount to be invoiced for the wellness plan.

Leave this field blank if the plan uses dynamic pricing.

Enrollment Fee

Additional fee added to the cost of the wellness plan. The enrollment fee can be invoiced monthly, quarterly, or annually.

Included Free Products

Select products from your Vetspire inventory to add to the wellness plan at a 100% discount.

Plan % Discount

Set a percentage to discount the sum total of the wellness plan products by. (For example, entering 15 in this field will discount the wellness plan total by 15%.)

Leave this field blank if the plan uses dynamic pricing.

% Discount for Off-Plan

Clients enrolled in this wellness plan can receive an additional discount on products not included in the wellness plan.

(For example, a client enrolled in an ‘Annual Membership' wellness plan may receive 5% off all other products and services invoiced at your practice.)

Excluded % Discount Products

If a value is added to the % Discount for Off Plan field, you can use this field to prevent specific products from being discounted.

If a value is added to the % Discount for Off Plan field, you can use this field to prevent specific product types from being discounted.

Previously Paid Product

Select a single product to use for the previous payments line item on cancel plan invoices. Useful for attributing that to a revenue center.

Auto-Renewable?

Toggle on this option to enable auto-generated invoices for wellness plan fees.

Terms & Conditions

Enter consent form text in this field. This text displays in Vetspire when enrolling a patient in a wellness plan.

Send Auto-Renew Notices

When Auto-Renewable? is toggled on, you can toggle this option on to send automatic reminders to clients 5 and 10 days before the wellness plan renewal date, informing them of the renewal and upcoming charges.

Add Items to Wellness Plan

Wellness plan items are benefits (physical products or services) that can redeemed during the year that a patient is enrolled in the plan. Each wellness plan includes at least one item that is linked to a product in your Vetspire Inventory & Services.

To add a wellness plan item, select Add Item on the right side of the wellness plan settings screen.

The following table describes available settings fields for a wellness plan item (benefit).

Field

Description

Name

The client-facing name of the benefit.

Primary Product

Search for and select the associated product code for this benefit.

The Primary Product and Primary Package fields cannot be used together. When a Primary Product is selected, the system ignores any selection in the Primary Package field and does not link that package to the plan item.

Primary Package

Search for and select the associated product package for this benefit.

Additional Product(s)

(Optional) Add additional products to the plan benefit. Multiple products can be selected in this field.

Quantity

The number of times this benefit can be redeemed during the year that a patient is enrolled in the plan.

Available Quantities

When enrolling a patient in a wellness plan, the client can choose up to this number of times to redeem the benefit.

Selected by Default

Toggle on this option to automatically select this benefit for inclusion in the plan when enrolling a patient.

Required

Toggle on this option if this benefit is required to be part of the plan.

Covered Species

Limit the availability of this benefit to specific species.

Covered Sex

Limit the availability of this benefit to Male or Female patients.

Only Not Neutered

Toggle on this option to limit the availability of this benefit to patients that have not been neutered.

Exclude From Renewal

Toggle on this option to disable automatic plan renewals.

Refresh a Wellness Plan

There may be scenarios where some patients are currently enrolled in a wellness plan, but the plan benefits have been updated.

In Financials > Manage > Wellness Plans, you have the option to Refresh a wellness plan. When you select this option, any benefits that are marked as Required are added to plans for currently enrolled patients.
