The Vetspire AI Scribe app is an iOS mobile app (for iPhone and iPad) that transcribes your conversations with clients and auto-generates detailed SOAP notes for you. (AI Patient Summaries display in the Scribe app, too!)
Once you begin an encounter in the Scribe app, the AI speech-to-text mapping populates conversation data in the corresponding sections (such as Assessment, Plan, and Discharge Instructions). When you confirm a Scribe-suggested input in the app, the data then displays in Vetspire on the web.
In this article, we’ll walk you through using the Scribe app during an encounter from start to finish.
How It Works
Login and View Schedule
Log into the Scribe app with your organization name and the same credentials you use to log into Vetspire on the web.
Once you’re logged in, the Scribe app displays your clinic’s Schedule.
You can begin a patient’s exam on-the-go from the Scribe app, which allows you to record from the lobby, exam room, and anywhere in the clinic!
The Schedule can be filtered by Location, Date, and Provider.
Appointment cards sync with Vetspire to display real-time status updates for the appointment, intake form completion, and encounter.
Essential Patient Info in One Click
Before starting an encounter, select the patient’s name on the Scribe Schedule to display their AI Patient Summary and signed encounter history from the past three years.
Use the Schedule, Summary, and Exam tabs in the app footer to navigate through the Scribe app.
Start Recording
When you are ready to begin an appointment, select Start Encounter in the Scribe Schedule. This also begins the appointment in Vetspire on the web.
Select the microphone button in the lower right corner of the app to start your recording and transcription.
You can pause the Scribe recording at any time before saving, or cancel the recording to delete the audio file and start over.
Multiple recordings can be saved to the same encounter.
Scroll through the Encounter While Recording
The AI populates your words in the Scribe app as you speak, so you can continue your conversation while simultaneously navigating through the encounter.
You can manually enter encounter data within the Scribe app and interact with all encounter sections while the Scribe is recording.
Tip: The Scribe app is compatible with Apple Pencil and Bluetooth keyboards!
After you save your recording, the Scribe app displays a message when your AI-generated notes are ready for review.
Intuitive Review Process
You have complete control over the notes suggested by Scribe. Once approved, Scribe notes sync with Vetspire to display in your encounter on the web.
Review and approve Scribe’s AI-generated notes for each encounter section.
Select Sync All at the top right of the app to approve all of Scribe’s suggestions at once.
You can revert any changes if needed.
In each encounter section, existing/manually entered notes display in italics. New notes suggested by Scribe are not stylized.
Additionally, Scribe displays an alert ⚠️ for suggested changes that differ largely from the original encounter notes.
Transcripts Available for 7 Days
The audio files of your Scribe recordings are stored in the encounter for 7 days in the Recording section. This enables you to review notes and suggestions before the encounter is closed.
Select View Transcript to read a copy of the recording. Use the search bar at the top of the transcript to locate key terms.
Upload Attachments in Scribe App
You can upload photos and files from your iOS device directly to Patient Chart in the Scribe app. You can also view documents, images, and rDVM records that have been uploaded to the patient’s chart in Vetspire on the web.
AI Scribe on the Web
You can also use AI Scribe inside Vetspire on a desktop computer or laptop!
In an encounter, select the AI Scribe microphone above the encounter footer to start a new recording. (Your browser may prompt you to grant Vetspire permission to access the microphone on your device.)
The recording bar displays above the encounter footer. You can pause, stop, and delete your recordings and create as many recordings as you need.
When you select the Stop icon, the AI Scribe begins processing your recording and preparing transcribed notes for your review. The recording bar will then update to say Notes Ready! Select Review to open the Review Notes window.
Just like in the AI Scribe app, existing/manually entered notes display in italics in the Review Notes window. New notes suggested by Scribe are not stylized.
You can sync individual sections or select Sync All to add all of the AI Scribe notes to the encounter.
All saved recordings display at the top of the encounter:
Select Retrieve Notes to access the Review Notes window and sync or decline suggestions while the encounter is open.
Select View Transcript to read a copy of the recording.
Multiple recordings can be saved to the same encounter.
AI Scribe recordings are internal only. The audio files and transcriptions are NOT shared with clients when sharing medical record PDFs.
