Schedule a Date and Time from the Schedule/Calendar
The most common workflow for scheduling a preferred date and time from the calendar is to:
Click the time slot in the correct column, or create through the New Appointment button.
Search for and select the Pet Parent or patient from the scheduler pop-up. Search by client name, patient name, and client or patient ID, but it is best to search by phone number.
Choose the Appointment Type and verify the Provider.
Verify the Date and Time.
The appointment length will default to a preset time based on the appointment type. To edit the appointment length, click the three dots to switch between the minute and end times.
Select the Schedule Column if necessary.
If a Provider and Schedule are selected, the appointment will appear in both columns on the Calendar.
The Room Number may be assigned.
This field will be reflected on the Flow tab under the name.
ENTER ROOM 1 INSTEAD OF JUST THE NUMBER 1.
Enter the Reason for the visit.
Appointment Notes are for internal use. Appointment Notes are optional and are not included in client communications.
EXAMPLE: NEW CLIENT FORM WAS EMAILED, PREVIOUS MEDICAL RECORDS WERE REQUESTED, THE CLIENT IN A BLUE FORD EXPLORER, ETC.
Choose the Appointment Status.
Pending: Future appointments until time to confirm
Confirmed: Same-day or next-day appointments
Click the CREATE APPOINTMENT button.
In the appointment box, select E-mail Self-Check In or Text Self-Check In. Confirm that the self-check-in was sent by the Self-Check-In Sent message.
THE VISIT REASON WILL FLOW TO THE ENCOUNTER. THE APPOINTMENT NOTES DO NOT FLOW TO THE ENCOUNTER.
